The Senior Benefits Specialist is responsible for the implementation and administration of employee health and welfare benefit plans and 401(k) plan. This position will also be responsible for special projects, process improvement initiatives, audit and analysis of benefits information, and ongoing monitoring and maintenance of benefits administration system. The individual in this role interacts with benefits broker, benefit carriers, and vendor support to ensure all benefit plans are set-up and functioning properly. The individual must possess strong knowledge of benefit administration procedures, be detail-oriented and highly organized, and have ability to work in a fast paced environment.  Handles sensitive and confidential situations and information.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, but are not limited to:

  • Administers day-to-day operations of employee benefits programs to include: 401(k) plan, medical, dental, vision, life insurance, disability, flexible spending accounts, and wellness program.
  • Gathers employee data and oversees timely and accurate transmission of employee and employer enrollment files and contributions to third party benefit administrators.
  • Reviews monthly billings and invoices from vendors for accuracy and ensures timely payment.
  • Conducts audits of HRIS benefits information and develops carrier error reports.
  • Monitors the administrative costs of benefits programs.
  • Documents and maintains administrative procedures for assigned benefits processes.
  • Gathers and provides data for internal or external audits and financial forecasting to vendors or brokers for analysis. Creates ad-hoc reports as needed.
  • Assists with review and monitoring of plans and programs to ensure compliance with applicable laws and regulations.
  • Serves as the initial point of contact for complex questions and/or escalated employee concerns.
  • Administers the 401K plan, annual audit and reports, as well as day-to-day activities, such as enrollments, loan requests, terminations and rollovers.
  • Coordinates transfer of data to external contacts for services, premiums and plan administration.
  • Coordinates and/or participates in testing for modifications to online benefits systems.
  • Identifies problem areas in service delivery processes, troubleshoots issues and recommends solutions.
  • Updates and maintains employee files regarding changes to benefit deductions or additions in HRIS system.
  • Participates in preparation and communication to employees about benefit programs, procedures, claims and any other government mandated disclosures.
  • Analyzes employee benefits data to ensure accuracy in HRIS system, including service from third party vendors.
  • Participates in planning and coordinating the implementation of annual benefits enrollment programs for all team members, including the development of communication materials.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree or equivalent experience required and minimum of 3-4 years of experience in benefits administration.
  • Knowledge of state and federal laws relating to Human Resources with an emphasis in benefits administration.
  • Ability to work with confidential and sensitive information.
  • Ability to effectively plan, organize and meet deadlines while maintaining a high level of quality and confidentiality.
  • Ability to handle multiple tasks and work independently.
  • Advanced proficiency with MS Office (Word, Excel, PowerPoint, etc.)
  • Familiarity with an HRIS system (experience with Ceridian Dayforce or Oracle a plus).
