Division: Rack Room Shoe Corporate

Job Title: Payroll Specialist    

Accountability: Payroll Manager

Summary: The primary responsibility for this position is to assist in the processing of the weekly and bi-weekly payroll while compiling data in order to maintain payroll records.

Essential Duties and Responsibilities:

Payroll Processing:

  • Process Payroll for Biweekly, Weekly, and Confidential Expense Reimbursements. (Payroll Process, Prepayments, Payroll Archive, NACHA, Direct Deposit Writer, and Check Writer, Submit to ADP)
  • Purge Batch History
  • Submit New Hire file to NC New Hire Reporting
  • Run Payment Register Summary to get total amounts for checks, NACHA, and voids to complete Master Check Register to let Banking know the cash needed for each Payroll (Biweekly, Weekly, and Confidential Expense Reimbursement)

Exception Reporting:

  • Enter time corrections/adjustments from Task Manager Time Edit Forms
  • Contact stores to correct Exceptions
  • Edit Time and Attendance
  • Approve/Override Exceptions in Time and Attendance

Payroll Tasks:

  • Respond to Emails and Phone Calls from Stores
  • Scan Garnishments to ADP to set up or make changes to existing garnishments.
  • Process Back Pay adjustments
  • Process make up checks and final pay checks

Additional Duties:

  • Update pay rates for Headquarter employees entered by Human Resources
  • Update State and City Minimum wage when necessary
  • Update MA and RI state holidays annually
  • Void Checks with ADP when necessary
  • Open/Sort/Distribute Mail
  • Knowledge of auditing an editing Hourly Headquarter employee time report
  • Knowledge of completing Employment Verifications
  • Assist in quarterly reporting required by states

Qualification:

Education/Experience: 3-5 years of work experience in a multi-state payroll environment; knowledge of federal and state payroll regulations; demonstrated ability to handle a heavy workload; be a problem solver and solution finder; accomplish tasks with little supervision; excellent organizational skills with ability to prioritize multiple projects.

Language Ability: Strong professional and effective verbal and written communication skills; interpersonal skills necessary to deal effectively with all levels of internal and external personnel regarding payroll issues.

Math Ability: Basic Math

Computer Skills: Strong PC system skills; Proficiency in Microsoft Word, Excel and Outlook. Knowledge in Oracle HRMS.
