Summary:
Coordinate travel for HQ corporate employees while staying within the guidelines of the Corporate Travel Policy as well as provide administrative support for the company’s Senior Management team.

Essential Functions:

  • Coordinate domestic & international travel for RRS HQ employees and visiting guests from RRS German parent company, including but not limited to foreign and domestic flights, hotels, car rentals and hired cars.
  • Plan and coordinate meeting functions and special events for Executive Team, including those involving high profile guests from Deichmann SE, company vendors and other high-profile guests.
  • Schedule and coordinate private charter jets for Senior Management.
  • Communicate with employees at German parent company.
  • Negotiate hotel contracts and airline group rates for large events.
  • Manage corporate credit card for travel; reconcile monthly card statement and provide all back up support to Accounts Payable.
  • Assist travelers with passport and visa applications.
  • Coordinate Management Team Planning events, Annual meetings, and any other corporate events.
  • Provide administrative support to Sr. Management including but not limited to typing letters, creating Power Point presentations, copying documents, FedEx packages and emails.
  • Order catering for corporate meetings.

Knowledge, Skills, and Abilities:

  • Required:  Fully conversant with airlines GDS systems, preferably Sabre, Apollo
  • Manage ticket issuance for air; knowledge of Eurostar.
  • Excellent knowledge of European rail providers
  • Expertise in processing airline reissues and changes in a timely manner
  • Exceptional telephone manner and good written skills
  • Demonstrate ability to make effective use of resources available to complete tasks to agreed deadlines.
  • Possess a proven record of experience in a business travel environment.
  • In depth knowledge of domestic and international air fares, including RTW fares, and travel industry regulations.
  • Comprehensive knowledge of the travel industry and products in the market including different aircraft types and cabins.
  • Experience of mixed mode booking tools, and how to support both offline/online bookings. Ei, Concur Travel Solutions.
  • Have a ‘team player’ approach to an office environment.
  • Experience in using MS Word, Excel and Power Point software packages.
  • Excellent interpersonal skills.
  • Good attention to detail.
  • Ability to work well in a high pressure environment and adapt quickly to travel request volume increases.
  • Flexible approach to working environment and willingness to work flexible hours.
  • Ability to build a good rapport with travel vendors and suppliers.

Minimum Requirements:

  • A minimum of two years of experience in the travel or airline industry.
  • Two or more years experience using Sabre (Apollo also considered). Concur experience also required.
  • Two or more years experience in top level executive administration – supporting executive level management.
  • Proficient in PowerPoint and Excel, including v-lookups and other advanced Excel functions.
  • Ability to work share with two other assistants as needed

Work Environment:

  • Currently hybrid office environment; minimum of 4 days in the corporate office in Charlotte, NC office after a sufficient onboarding process.
